Manage device clients

In OrgAdmin, you can create and manage the device clients that can use your organization’s purchased licenses.

In device-based licensing, you authorize a device to use a license instead of authorizing specific users. Anyone with access to the device has access to the software, with no need for a user account.

View device clients

  1. In the left sidebar, go to Device clients.

The list of your organization’s device clients opens (device clients that belong to at least one of the organization’s device client groups).

The list shows information on each device client, such as the client ID.

  2. To view a device client’s details, click the Tools menu > View details for the device client.

A dialog opens, displaying the device client’s details. You can define which groups the device client belongs to by clicking Client groups. You can also view the current usage of the licenses by clicking Licenses.

Invite device clients

You can send an email invitation to invite new and existing device clients to your organization.

With the invitation, you add a device client to one or more device client groups. This grants the device client access to the licenses that the groups have access to.

The invitation can be sent, for example, to your device administrator. The recipient doesn’t need to be a registered user, and you can send more than one device client invitation to the same email address.

The invitation recipient must accept the invitation on the physical device (hardware) on which the software application is running. You will see the new device client in OrgAdmin when the invitation has been accepted.

If the recipient accepts an invitation on a device that is already registered as a device client in the system, this existing device client is added to the group defined in the invitation. If needed, you can even restrict an invitation so that it can only be accepted on a specific device.

To invite device clients:

  1. In the left sidebar, go to Device clients and click Invite. A dialog opens.

(Or, go to Invitations and click Create > New device client invitation.)

  2. Add information on the email recipient and device client:

    • In Send to, enter the recipient’s name to be shown in the email invitation, and their email address.

    • In Device client details:

      • Enter the name of the device client. Depending on the software application, the recipient may be able to change the name when they accept the invitation on a new device.

      • Optionally, enter the ID of an existing device client to only allow using the invitation on that device.

(You cannot specify an ID for a new device client: it’s generated automatically.)

  3. To send more invitations, add recipients and device clients as needed.

To add another entry, click the + button on the right, and enter the details in the same way.

You can edit an entry by clicking the pen icon next to it, and delete one by clicking the trash can icon.

  4. On the list of device client groups, select at least one group that the device clients will be added to.

  5. In Message (optional), enter a short personal message for the invitation. The invitation will also show your (the inviter’s) name.

The personal message is added to the default email message. It’s also shown on the web page where the recipient accepts or declines the invitation.

Any line breaks are ignored—the message is shown as one paragraph of text.

  6. Click Invite.

You can also invite device clients to a specific device client group from the Device client groups page: click the Tools menu > Send invite for the group, and follow the same steps as above.

Manage device client invitations

You can view and manage device client invitations to your organization, and resend or revoke them if needed:

  1. In the left sidebar, go to Invitations.

The list of invitations to device clients and users opens.

The list shows information on each invitation, such as the status, the recipient email address, and the groups that the device client or user was invited to.

The invitation status can be Pending (not accepted or declined yet), Accepted, Declined, Unsent (not sent yet, for example, due to technical issues), or Expired.

If the invitation shows a device client ID, the invitation is restricted to that existing device client and can only be used on that device.

  2. On the invitation list, click the Tools menu for an invitation and use the following options:

    • To view an invitation, select View details.

    • To resend the invitation email, select Resend, and click Resend again to confirm.

    • To delete the invitation from the system, select Delete, and click Delete again to confirm.

Edit a device client

You can edit a device client’s name:

  1. In the left sidebar, go to Device clients.

  2. On the device client list, click the Tools menu > View details for the device client.

  3. In the dialog that opens, click Edit.

  4. Edit the name of the device client, and click Apply.

Delete a device client

You can delete device clients, if needed:

  1. In the left sidebar, go to Device clients.

  2. On the device client list, click the Tools menu > Delete for the device client.

  3. In the dialog that opens, click Delete to confirm.

If the device client is currently using a license, it is able to continue using the license until the license lease expires or the software application tries to refresh the lease, whichever comes first.

If the deleted device client had any seat reservations to licenses, those are released.
